Job Description

A highly organized and motivated Resource Protection Program Administrative Assistant with strong communication and interpersonal skills. Proficient in Microsoft Office Suite, with experience managing calendars, scheduling appointments, and handling travel arrangements. Adept at handling confidential information and maintaining a professional demeanor. Eager to contribute to a fast-paced environment and support a team's success.

Responsibilities

  • Data entry, invoicing and reconciliation of financial reports and safe audits.
  • Logs, compiles, organizes, processes, and summarizes many different types of data.
  • Prepares reports, correspondence, complies various statistical reports/graphs to support staff, supervisors, or managers. 
  • Ensures own actions and those of others observe maximum level of safety and compliance.
  • Operates or performs such standard office duties such as producing general office written or electronic correspondence, handling a variety of telephone and office equipment, observing proper procedures to handle records or other materials, etc.  
  • Operates in a climate of confidentially requiring discretion.  
  • Assists others with overflow work or special projects.  
  • Will play varying roles in supporting or conducting an area’s ongoing business or staff meetings.  
  • Responsible for order office supplies
  • May utilize specialized computer systems and applications as required by the program.
  • Actively supports and participates in performance improvement activities.
  • May also be combined with other position duties
  • Notify supervisor if safety and sanitation standards are not being met.
  • Other duties that are pertinent to the team and programs success also may be assigned.
  • This position has no supervisory responsibilities.

 

Qualifications

  • High school diploma or GED equivalent.
  • Must have at least three (3) years of work experience in a related field.
  • Must have intermediate computer skills in MS Office (Word, Excel and Outlook).
  • Ability to work independently and complete assignments in a timely manner.
  • Strong communication skills, in both written and verbal forms.
  • Must have intermediate skills in using the following equipment: Calculator, fax machine, copy machine and misc. office equipment.
  • Must be able to cooperate and work as part of a team with fellow employees, customers and clients.  
  • Must be able to make decisions in the moment with little to no supervision.
  • Contract requires employees to speak, understand, read and write English.
  • Must be able to work the entire seasonal assignment, July 1st – October 1st

 

Working Conditions and Physical Requirements

Weather: Indoors - environmentally controlled; requires most or all work to be done inside. Occasionally outdoors, exposed to outdoor weather conditions.

Noise level: Moderate

Description of environment: Office building with standard office environment.

Physical requirements:  Employee is required to occasionally lift and/or move up to 25 lbs. Frequently required to sit, stand, walk, use hands/fingers to handle or feel, climb, stoop, kneel, crouch or crawl, talk/hear, see, taste/smell, and carry weight/lift.
